THE ROLE:
JOB IS FROM: italents.netVIEWWe are searching for an experienced Executive Assistant who is high energy and thrives in an every-changing business environment supporting Engineers. In this role, you will partner with other executive assistants and interact with various levels of management, customers and employees, assisting our Corporate VP of AI Silicon and senior leaders in the team to manage day to day priorities. The environment is fast paced, dynamic, and collaborative. This role will require flexibility in schedule with early morning, evening, or weekend hours to complete tasks, attend meetings, or take care of business.
THE PERSON:
The ideal candidate will have significant experience navigating an executive environment and be comfortable interacting with employees of all levels. To be successful, you will need to be a self-starter, strong organizational and multi-tasking skills, with the ability to gather information and make decisions independently. Being pro-active and anticipating the needs of the executive is critical as you prioritize time, schedules, inquiries and information. This person needs to be highly reliable and adaptable. Problem solving skills are also essential.
KEY RESPONSIBILITIES:
- Own the Executive calendar; Prioritize appointments as necessary; Coordinate major offsite meetings and Executive travel.
- Arrange domestic and international travel schedule and reservations; Prepare expense reports and ensure submission in a timely fashion.
- Interface with various levels of management, customers, and other executive visitors; Redirect inquiries and problems to staff members for response and resolution as necessary
- Review and answer mail and inquiries and determine if executive action is required.
- Exercise judgment and initiative with high degree of flexibility
- Set up and maintain propriety files and record retention schedules.
- Obtain, assemble and analyze information and data from a wide variety of sources in order to prepare reports, agendas and correspondence.
- Order and maintain inventory of departmental supplies; Coordinate necessary equipment or facilities repairs or changes.
- Support the department’s financial processes, including budgets, contracts, purchase orders, payments, vendor relations, etc.
PREFERRED EXPERIENCE:
- Ability to use a variety of complex office automation tools and software, including proficiency in PowerPoint, Excel, Word, SharePoint
- Proven number of years supporting C-Level executive
- Experience with MS Suite - Power Point, Word, Excel, Teams
- Expense report generation
- Outlook Calendar
Academic Credentials:
- College degree or equivalent education
