Job posting number: #153687 (Ref:JR28137)
Job Description
Department
Lab School Admissions & Financial AidAbout the Department
The University of Chicago Laboratory Schools provides one of the world's most outstanding pre-collegiate educational experiences. Because Lab is part of the University of Chicago, the importance of intellectual life—of thought and exploration—infuses all aspects of our curriculum and students in every grade benefit from outstanding UChicago academicians and access to unmatched resources. John Dewey—one of the great minds in education—established the Schools in 1896 as a place to explore and implement his theories on childhood education. Today’s students still benefit from his vision, and today’s Lab faculty are recognized as experienced leaders in their field.Families who choose Lab care deeply about curiosity, inquiry, and creativity. Approximately 60 percent of Lab families are affiliated with the University, half live in Hyde Park, and the rest come from across Chicago, the suburbs, and northern Indiana. Lab’s student body reflects the diversity that is deeply valued by the Schools and its community; approximately half of our 2,000 students are people of color and families report speaking nearly 40 different languages in their homes.
The Laboratory Schools seek the finest employees—people who wish to inspire a love of learning in our students and join a vibrant learning community. We employ people with a wide range of skills and training, in many different disciplines. At Lab, we value learning experientially, exhibiting kindness, and honoring diversity. We seek employees who share a similar commitment to these values. Lab people are engaged and excited by our mission of igniting and nurturing an enduring spirit of scholarship, curiosity, creativity, and confidence in the youngest members of the University of Chicago’s academic community.
The Laboratory Schools is a great place to work and our connection to the University provides our faculty and staff with opportunities that would be nearly impossible to match in any other environment.

The PA IV should be organized, show an ability to work with multiple people, and exhibit kindness and professionalism at all times.
The most significant part of this position involves the mastery of complex admissions and other database systems (currently Zoom, calendly, Finalsite, Excel, Powerpoint, Oracle, Google docs, and other programs, but this may change as needs change), understanding Lab and its admissions and financial aid process, so that the PA IV may advise applicants on routine admissions questions and protocols, and manage the admissions database with a high degree of facility. The expectation is that the PA IV will become an expert at relevant databases, and the ideal candidate will show willingness and ability to learn and apply recent technological updates in order to manage a heavy influx of emails, phone calls and applications. Continuous improvement through professional development is expected, and independence, curiosity, and a positive attitude is required in a busy admissions environment.
The PA IV is the first face of UCLS and should be a positive, welcoming presence both on the phone, in person, and with internal and external stakeholders. The PA IV answers most incoming phone calls and emails, and ascertains the needs of applicants, interested parties or other callers to the school. The PA IV is also responsible for answering basic informational questions regarding UCLS and the admissions process and directing the caller/visitor to other appropriate identified resources. If an additional meeting or phone call is appropriate, the PA IV shall schedule calls and visits on behalf of the DEM, Associate Director, or any Assistant Director, as appropriate. The PA IV manages the permanent file process, processes most receipts, bills, and office orders and manages office supplies. The PA IV may work at either one of Lab's two campuses or may rotate between campuses.
A high degree of confidentiality, professionalism, and discretion is expected.
Responsibilities:

As stated above the PA IV is expected to become an expert with Lab’s databases and other systems, and should be prepared to lead the DEM and other assistant/associate directors through the back end database processes for rolling forward admissions, enrollment, and re-enrollment. Is proactive in identifying problems, questions and concerns, and showing ownership for ensuring that processes run smoothly. The PA IV must be able to independently conduct data searches, create data fields, create, format and send communications to the appropriate parties, and update applicant files with detailed admissions information. Pulls in applicant inquiries and merges them with current applicant files, updates applicant checklists, either individually or in bulk, and creates new applicant files as needed. Can recognize when processes are not working well and may suggest process modifications. Alternatively, the PA IV will troubleshoot problems as needed, either by correcting the issue directly, or contacting the database specialists to receive assistance. Shows leadership and accountability with respect to managing the database and continuously improving the back office end of Lab’s processes.
In addition to Lab’s admissions database, the PA IV must demonstrate fluency with all other necessary systems, including but not limited to Excel, Powerpoint, Google Sheets, Oracle and any new functionalities that are applied.
